Welcome to Kibo Trips African Safaris, located in Arusha. These Terms and Conditions govern all safari bookings, mountain climbing tours, cultural experiences, and travel services arranged through our company. By booking a safari or tour with Kibo Trips African Safaris, you agree to the terms outlined below. We encourage all travelers to carefully read and understand these conditions before confirming their reservation.
A) Booking And Reservation Policy
All safari bookings and travel arrangements are subject to availability at the time of confirmation. A reservation is considered confirmed only after receiving a required deposit or full payment as specified in the safari quotation or invoice.
Clients are responsible for providing accurate personal information including:
• Full names as shown on passports
• Nationality and passport details
• Arrival and departure information
• Special dietary or medical requirements
• Emergency contact information
Kibo Trips African Safaris reserves the right to decline or cancel bookings if incomplete or incorrect information is provided.
B) Payment Terms
Safari payments must be completed according to the payment schedule provided during the booking process. Payments may include deposits and final balance payments depending on the safari package and travel dates.
Important payment conditions include:
• Deposits are required to secure safari services and accommodations
• Final balances must be paid before the safari start date unless otherwise agreed
• Additional bank charges or transfer fees are the responsibility of the client
• Failure to complete payments on time may result in cancellation of services
All prices are subject to change in case of government tax increases, park fee adjustments, or unexpected operational changes beyond our control.
C) Cancellation And Refund Policy
Cancellations must be submitted in writing through email or official communication channels. Cancellation charges may apply depending on the timing of the cancellation and supplier policies for lodges, camps, flights, and national park reservations.
Refund conditions may include:
• Administrative and processing charges
• Non refundable park fees and permit costs
• Accommodation cancellation penalties
• Supplier and third party cancellation charges
No refunds will be provided for unused services, missed activities, delayed arrivals, or early departures during the safari unless otherwise stated by the company.
D) Travel Documents And Health Requirements
Travelers are fully responsible for obtaining valid travel documents before arrival in Tanzania. This includes passports, visas, vaccination certificates, and any additional travel requirements requested by immigration authorities.
Clients are advised to:
• Ensure passports remain valid for the required travel period
• Obtain necessary visas before travel where applicable
• Carry travel insurance for medical emergencies and cancellations
• Consult healthcare professionals regarding vaccinations and medications
Kibo Trips African Safaris is not responsible for denied entry, travel delays, or additional costs caused by incomplete travel documentation or health related issues.
E) Safari And Mountain Climbing Responsibilities
All travelers participating in safaris, trekking adventures, cultural tours, or other outdoor activities are expected to follow safety instructions provided by guides, drivers, and company representatives.
For safety and conservation purposes, clients must:
• Respect wildlife viewing regulations
• Follow national park rules and conservation guidelines
• Respect local communities, cultures, and traditions
• Avoid dangerous behavior during activities
• Follow guide instructions during mountain climbing and safari tours
Kibo Trips African Safaris reserves the right to remove any traveler whose behavior endangers other guests, staff members, wildlife, or the environment without refund.
F) Changes To Itineraries
While every effort is made to operate tours exactly as planned, Kibo Trips African Safaris reserves the right to adjust itineraries when necessary due to weather conditions, road conditions, park regulations, safety concerns, operational issues, or circumstances beyond our control.
Possible changes may include:
• Accommodation substitutions of similar standard
• Changes in travel routes or schedules
• Activity adjustments for safety reasons
• Vehicle replacements if necessary
Any significant changes will be communicated to clients whenever possible.
G) Liability And Responsibility
Kibo Trips African Safaris acts as a tour operator organizing safari services, accommodations, transportation, and activities through trusted suppliers and partners. While we strive to provide safe and high quality travel experiences, the company shall not be held responsible for circumstances beyond reasonable control.
This includes:
• Natural disasters or extreme weather conditions
• Flight delays or airline cancellations
• Government actions or travel restrictions
• Illness, injury, or personal accidents
• Loss, theft, or damage of personal belongings
Travelers participate in safari and trekking activities at their own risk and are encouraged to obtain comprehensive travel insurance coverage before travel.
H) Privacy And Personal Information
Kibo Trips African Safaris respects the privacy of all clients and handles personal information responsibly. Information collected during the booking process is used solely for travel arrangements, customer service, operational purposes, and legal requirements where necessary.
Client information will not be sold or shared with unauthorized third parties except when required for safari operations such as hotel reservations, domestic flights, permits, or government regulations.
I) Acceptance Of Terms
By booking any safari, mountain climbing tour, cultural experience, or travel service with Kibo Trips African Safaris, clients acknowledge that they have read, understood, and accepted these Terms and Conditions. These conditions are designed to ensure safe, professional, and enjoyable travel experiences throughout Tanzania.
